OSDEF Executive Director

JOB DESCRIPTION
The Olympia School District Education Foundation (OSDEF), a 501 (c)(3) charitable organization supporting the Olympia School District (OSD) in Olympia, Washington, is seeking its first Executive Director. This position reports directly to the Foundation’s Board of Trustees. The Executive Director (ED) is responsible for successful leadership and management of the organization, according to the direction set by the Board. The ED is accountable for the organization's consistent achievement of its mission and financial objectives.  

STRUCTURE
Part time contracted position approximately 80 hours a month (20 hours a week, which are flexible and can be performed at the OSDEF office and at home). 

SALARY
$30,000-$40,000, depending on experience

SUMMARY OF PRIMARY JOB FUNCTIONS

  • Oversee OSDEF’s operations, programs, fundraising, grant procurement, and philanthropic events in coordination with the Board of Trustees;

  • Serve as a liaison for the Foundation with OSD;

  • Maintain effective communication and cooperation with designated OSD personnel;

  • Serve as an active, non-voting member of Board and its committees;

  • Implement policies established by the OSDEF’s Board of Trustees, as well as analyze and evaluate their impact;

  • Promote the OSDEF through social media and also at local engagements; and

  • Represent the OSDEF before community and civic organizations, donors, partners, supporters and the general public.

DUTIES AND RESPONSIBILITIES

General

  • Implement short-term and long-term strategic plans, including overseeing execution of OSDEF existing programs, policies and procedures;

  • Work with OSDEF Board President, Treasurer and Secretary to send board meeting materials (agendas, supporting materials, financials, etc.) electronically within one week before board meetings and as needed;

  • Participate in monthly OSDEF board meetings and give monthly reports to the Board;

  • Take minutes during monthly board meetings and work with Board Secretary to highlight action items and send to the Board within one week of the meeting;

  • Meet with designated OSD personnel to collect and disseminate information and to coordinate activities and initiatives;

  • Submit information, reports and records as requested or required by law to appropriate governmental agencies and the Board, as applicable; and

  • Oversee execution of OSDEF programs, policies and procedures.

     

Marketing & Communications

  • Work with the Board to enhance public understanding and support of the OSDEF through a coordinated year-round communications/marketing program;

  • Build partnerships and foster relationships with the donors, businesses and community leaders;

  • Raise public awareness of the OSDEF through social media platforms, speaking engagements, local media, and other opportunities as they arise; and

  • Work with the OSDEF Marketing Committee to oversee the development and implementation of all communication, including emails, social media, websites, letters, brochures and reports to ensure that materials are high quality and reflect OSDEF’s image.

     

Fundraising

  • Develop and implement strategies and initiatives for ongoing fundraising and special campaigns to ensure year-round financial growth, including identifying grant opportunities and writing grants; and

  • Work with Board of Trustees to coordinate all fundraising events of the organization.

     

Financial

  • Work with the Board Treasurer to ensure the accuracy, integrity, and timeliness of all financial accounting and reporting;

  • Work with Board Treasurer and Executive Committee to prepare an annual budget for Board approval;

  • Send donor tax donation receipts and thank you letters; and

  • Ensure that day-to-day bookkeeping and database management are performed.

     

Administration

  • Manage the Foundation’s operations;

  • Develop, manage and direct the Foundation’s process of receiving, reviewing and awarding educational grants, including sending grant applications to OSDEF Grants Committee, tracking grant applications and post grant reports;

  • Ensure compliance with applicable government legislation, regulations and guidelines pertinent to the OSDEF’s role as an employer and a tax-exempt charitable organization;

  • Maintain OSDEF schedule and calendar;

  • Jointly, with the Executive Committee, conduct official correspondence of the organization, and with designated Board Members, execute legal documents; and

  • Keep the Board of Trustees fully informed about the condition of the organization and all-important factors influencing it.

 

QUALIFICATIONS

  • A commitment to the OSDEF’s mission;

  • Knowledge of OSD schools, as well as regional businesses and philanthropic community;

  • Bachelor’s degree preferred with all related experience given consideration. Experience in non-profit sector, fundraising, financial management, grant writing, working with volunteers and volunteer development is desirable. Experience in public education system is preferred;

  • Strong written and verbal communication skills;

  • Action-oriented, self-motivated and able to work independently;

  • Strong organizational and planning skills;

  • Willingness to work flexibly, both in an office and remotely, also to work a limited number of weekends to accommodate OSDEF activities and represent the OSDEF at events outside the normal work week;

  • Proficient technology skills. Specific experience with relevant software and systems including Excel, MailChimp, Compass360, accounting programs, and others is preferred; and

  • Demonstrated skill in actively managing social media accounts.
